POSITION REPORTS TO: Project Assistant, Project Administration & Communication and Executive Director
INTERNAL AND EXTERNAL CONTACTS
INTERNAL: Executive Director, Network staff, Network Steering Committee members (provincial/territorial, regional and aboriginal representatives) and their staff, working group members, Alberta Council of Women’s Shelters staff.
EXTERNAL: Suppliers, service providers, others.
POSITION PURPOSE:
This is an exciting short term summer contract position with potential for future part-time work throughout the school year. We require a dynamic personality with good knowledge of coordination and administrative work such as filing systems, taking minutes, memo and report writing and office keeping work. This individual must have excellent oral and written communication skills in both English and French. A keen interest in learning about violence against women and women’s rights’ issues is a definite asset.
ESSENTIAL FUNCTIONS AND BASIC DUTIES:
- Create meeting agendas and draft memos;
- Take minutes during staff meetings, teleconferences and phone calls;
- Help create and organize the office’s hard and soft filing system and resource database;
- Search out resources and prepare material binders and spreadsheets and labels to support projects;
- Handle correspondence and deliveries, including office inventory and ordering supplies and resources as required;
- Cover for Project Assistant when out of the office.
QUALIFICATIONS:
- Current post-secondary student or recent graduate;
- Demonstrated competency with computer software including, but not limited to, Word, Excel, Access, Microsoft Outlook, Powerpoint, Photoshop;
- Knowledge of office filing systems;
- Ability to assess, problem solve and prioritize;
- Strong oral and written communication skills in both French and English. Use clear, simple, and effective language to communicate;
- Ability to translate short simple text (such as meeting notice or email) a definite asset.
